The purpose of communication is not to create a long conversation. It is to remove ambiguity before payment, warehouse time and return deadlines are involved. A useful message identifies the exact product, asks an answerable question, explains which decision depends on the answer and preserves enough evidence to inspect the item later.

Build a One-Screen Product Brief

Before contacting the seller, create a short product brief containing the source URL, seller identifier, product name, color, size, quantity, target price, domestic freight and a no-substitution rule. Ask Questions That Produce Decisions

Strong questions have defined consequences. “Is the quality good?” invites marketing language. “Is the chest width of size L at least 60 cm when laid flat?” produces a number that can be compared with a garment. For stock, ask whether the exact variant is ready to ship now. For accessories, name every required part. For quantity, ask whether a minimum applies to the full order or to each color and size.

Use stop rules whenever the answer can change the purchase: do not buy above a maximum domestic freight amount; do not replace the selected color; do not change size without approval; cancel if the seller cannot ship within the agreed window; and do not proceed after an unexplained price change. Stop rules prevent a well-intended substitution from becoming a warehouse problem.

Lock the W2C Link and Purchase Amount

A W2C link can change while the URL stays the same. Sellers may edit images, reuse a listing, remove a variant or direct the purchaser to another page. Before payment, save the URL, visible title, selected option, current price and a screenshot of the relevant listing section.

If the seller provides a replacement link, treat it as a new purchase decision. Recheck the seller, product, variant, price, domestic freight and return conditions. Do not approve a replacement simply because the photos look similar.

Record product price multiplied by quantity, option surcharges, domestic freight and confirmed discounts. Use a maximum payable amount instead of “around 200 yuan.” If the price changes after submission, request the reason and updated evidence before approving the difference. Turn Seller Replies Into Warehouse Checks

A seller reply is valuable only when it follows the product to the warehouse. Convert every important promise into an inspection point. If the seller confirms a measurement, compare it with a warehouse measurement. If an accessory is promised, verify the complete set. If a color, model, label or hardware version is confirmed, compare it with the QC photos.

Keep seller claims separate from warehouse facts. Standard photos cannot prove every material claim, and a seller’s estimated weight is not the warehouse’s measured weight. The warehouse stage should replace assumptions with evidence whenever possible.

Define three outcomes before arrival: approve, request one targeted piece of evidence, or request return/exchange. A targeted request names the missing proof—the size tag, insole length, rear embroidery, inner label, accessory set or damaged area—rather than asking for “more QC.”

Handle Returns and Exchanges as Timed Cases

Separate Order Messages From Parcel Messages

Carry forward only shipping-relevant instructions: fragile handling, packaging removal, box retention, batteries, liquids, magnets, unusual dimensions and item category. Keep a Communication Ledger
